Is an AI Receptionist Worth It for a Small Service Business?

Is an AI receptionist worth it? Break-even math for small service businesses, a cost comparison with hiring a receptionist, and who it doesn't fit.

By Adam Brewer, founder of Local Voice. Figures checked October 14, 2026.

An AI receptionist is worth it for a small service business when the jobs it catches from missed calls bring in more than it costs. At Local Voice's $397 a month, that's about 1.1 average HVAC repairs or 0.3 water heater replacements a month in sales, before your costs (Local Voice calculation).

It usually isn't worth it if you rarely miss calls, or if your callers need a licensed or trained person to answer them. This guide runs the break-even math and compares it with hiring a receptionist. It also says plainly who it doesn't fit.

Every figure was checked at its source on October 14, 2026. Derived figures are marked as Local Voice calculations.

Is an AI receptionist worth it? Start with the break-even math

Add up what it costs. Then work out how many jobs it has to catch to pay for itself. If you're new to the idea, start with what an AI receptionist is.

Local Voice's after-hours agent costs $397 a month with 500 minutes of agent time, plus a $500 one-time setup fee (after-hours AI answering service page). Minutes over the plan are billed at the rate in the quote. The first year comes to $5,264 ($397 × 12 + $500, Local Voice calculation).

Monthly cost ÷ average job value = sales a month you need to cover the fee

Then turn sales into missed calls. Our missed call calculator assumes 69% of missed calls never get a callback (Quo, 2026), then applies a booking rate, a sales rate and a job value. Run it backward and it shows how many missed calls a month an agent has to catch to cover $397.

These are sales, not profit. Divide by your gross margin to get your real break-even. If you keep half of each job after parts and labor, double the numbers.

Example. A hypothetical plumbing shop.

A two-truck plumbing shop checks its call log and finds 12 missed calls a month on nights and weekends. It runs them through the calculator's plumbing figures.

1.

12 × 69% = 8.28, so 8 callers never get a callback.

2.

8 × 43% booking rate = 3.4 booked jobs.

3.

3.4 × 62% close rate = 2.1 sales.

4.

2.1 × $1,348 water heater replacement = $2,831 in sales a month.

5.

Say the shop keeps 40% of each sale after parts and labor. That's its own figure, not a benchmark. 40% of $2,831 is $1,132 a month, against a $397 fee.

That's the most an agent could recover at these rates. If it caught half of those jobs, the shop would still clear the fee. The real test is the shop's own results after a few months.

Is an AI receptionist cheaper than hiring a receptionist?

On price, yes, by a wide margin. The U.S. Bureau of Labor Statistics puts the median receptionist wage at $18.27 an hour, or $38,010 a year, as of May 2025. That's $3,168 a month before payroll taxes and benefits (Local Voice calculation). BLS says most receptionists work full time.

The gap widens at night. A weekday 8-to-5 schedule covers 45 of the 168 hours in a week. The other 123 hours, 73% of the week, fall outside it (Local Voice calculation). Staffing all of them at the median wage would cost about $9,738 a month in wages alone.

Figure 2. Staffing every after-hours hour at the median wage would cost $9,738 a month

Monthly cost, U.S. dollars. Wages only for staff (Local Voice calculation).

  1. Staff all 123 after-hours hours a week, median wage$9,738
  2. One receptionist, median annual wage ÷ 12$3,168
  3. Local Voice after-hours agent$397

Staff figures are wages only, before payroll taxes and benefits. After-hours staffing = 123 hours × $18.27 × 52 ÷ 12. The Local Voice plan includes 500 minutes a month, plus a $500 one-time setup fee. Minutes over the plan are billed at the quoted rate.

Price isn't the whole story. A receptionist does far more than answer the phone (Figure 3).

Figure 3. Staff receptionist or AI phone agent: what each does well

You can use both: a person by day and an agent after hours.

Staff receptionist
  • Greets walk-ins and handles paperwork
  • Uses judgment on unusual calls
  • Knows your regular customers
  • Covers the hours on the schedule
  • Costs a wage, taxes and benefits
AI phone agent
  • Answers nights and weekends
  • Answers questions from answers you approved
  • Books jobs on your calendar during the call
  • Sends urgent calls to your on-call number
  • Records and transcribes every call

Most Local Voice clients start with after-hours calls only, then add daytime overflow. You keep your business number and forward calls during the hours you choose.

When does an AI receptionist pay off?

It fits best when calls slip through and the jobs behind them are worth real money. Check your shop against Figure 4.

Figure 4. Signs an AI receptionist is likely to pay off

The more of these fit, the faster it covers its cost.

  • Your call log shows missed calls every week
  • Many misses come at night or on weekends
  • You or your techs answer the phone from job sites
  • Most calls are routine, like booking a visit or asking about hours
  • Your average ticket runs in the hundreds or thousands
  • You have a calendar the agent can book into
  • Missed calls often wait until the next day for a callback

After-hours demand is real in the trades. ServiceTitan's June 2026 report found 14.1% of inbound calls to residential HVAC shops came outside weekday 8 a.m. to 5 p.m. in June 2025, and 9.8% in October. ServiceTitan says its group of shops isn't nationally representative. Its 2022 data showed small shops booking 9% of calls after 6 p.m., against 26% at their daily peak.

Many callers will use AI for simple tasks. CallRail's 2025 survey of 1,000 U.S. consumers found 50% would use AI to book an appointment (Figure 5).

The same data carries a warning. A 2024 Vonage survey found only 33% comfortable with AI on voice calls. Invoca's 2025 study found 77% are more willing to use a brand's AI assistants when they can also easily reach a person. So pick an agent that says it's AI and lets callers reach someone. Local Voice agents say they're an AI phone agent at the start of every call. If a caller asks for a person, the agent takes their details or transfers the call. You pick which.

When is an AI receptionist not worth it?

In some shops the math or the calls don't work. Figure 6 lists the common cases.

Figure 6. When an AI receptionist probably isn't worth it

If several of these describe your shop, spend the money elsewhere first.

VolumeYou rarely miss callsIf you miss a call or two a month and return them the same day, there's little left to catch.
Call typeCalls need a licensed or trained personA diagnosis, a binding quote or advice only a licensed pro should give belongs with a person. Set the agent to take a message or transfer those calls.
EmergenciesMost calls are true emergenciesThe agent can send urgent calls to your on-call number, but it isn't an emergency service and can't contact 911.
CallersYour callers expect a person every timeSome customer bases won't accept anything else. Watch the transcripts closely in the first month.
SetupNo calendar or booking rulesIf nobody can say what to book and when, the agent can't either. Fix that first.
Ticket sizeSmall jobs, few missesWhen each job is small, the agent has to catch more calls to cover its fee. Run your numbers first.

Source: Local Voice. Emergency limits from the Local Voice Terms of Service.

Check the low-ticket case against Table 1. At Angi's $350 average HVAC repair, an agent has to catch about 7 missed calls a month to cover the fee in sales. If you miss fewer than that and most are repair calls, it may not pay yet.

How to test an AI receptionist for a small business

Run a short trial with your own numbers. Figure 7 is one way to do it over three months.

Figure 7. A three-month test before you decide

Measure before, start small, then compare jobs with cost.

  1. Before you startCount your missed calls30 days from your call log, split by daytime and after hours.
  2. Month 1Forward after-hours callsDaytime calls ring as they always have. Read every transcript.
  3. Month 2Tune the answersFix the questions the agent couldn't answer. Tighten the urgent-call rules.
  4. Month 3Compare jobs with costCount the jobs the agent booked and what they sold for. Set that against the monthly fee.

Local Voice runs month to month. You cancel by email with 30 days' notice. The setup fee is refunded if the agent can't be launched, and billed months aren't refunded. Track your call booking rate before and after, so you can see what changed.

Frequently asked questions

Is an AI receptionist worth it for a small business?

It is when the jobs it catches from missed calls bring in more than it costs. At $397 a month, that's about 1.1 HVAC repairs or 0.3 water heater replacements a month in sales at Angi's averages (Local Voice calculation). It usually isn't if you rarely miss calls or your calls need a licensed person.

How many missed calls does an AI receptionist need to catch to pay for itself?

At the missed call calculator's default rates, about 7 missed HVAC repair calls a month cover $397 in sales, or 1.6 missed water heater calls. For a roof replacement it's about half a call. These are sales, not profit, so divide by your gross margin.

Is an AI receptionist cheaper than hiring a receptionist?

On price, yes. BLS puts the median receptionist wage at $38,010 a year as of May 2025, about $3,168 a month before taxes and benefits. Local Voice's after-hours plan costs $5,264 in the first year, setup included, if you stay within 500 minutes a month. A receptionist does far more than answer calls, so you may want both.

When is an AI receptionist not a good fit?

It's a poor fit if you rarely miss calls or if your calls need a licensed or trained person. It won't help much if most calls are true emergencies, since Local Voice's agent isn't an emergency service and can't contact 911. It also needs a calendar and clear booking rules.

Will customers talk to an AI receptionist?

Many will for simple tasks. CallRail's 2025 survey found 50% of U.S. consumers would use AI to book an appointment. Vonage's 2024 survey found only 33% comfortable with AI on voice calls. Disclose that it's AI and give callers a way to reach a person.

Can I cancel if it doesn't pay off?

Yes. Local Voice runs month to month, and you cancel by email with 30 days' notice. The setup fee is refunded if the agent can't be launched. Billed months aren't refunded.

When we checked

Every figure and price was checked at its source on October 14, 2026.

Calculations

Year one: $397 × 12 + $500 = $5,264. Sales to cover the fee: $397 ÷ job value (e.g. $397 ÷ $350 = 1.13) and $5,264 ÷ job value for year one. Missed calls to cover $397: $397 ÷ (0.69 × booking rate × sales rate × job value). HVAC repair: 0.69 × 0.38 × 0.62 × $350 = $56.90 per missed call, so 6.98 calls, shown as 7.0. Water heater: 0.69 × 0.43 × 0.62 × $1,348 = $247.97, so 1.6. Electrician: 0.69 × 0.41 × 0.62 × $351 = $61.56, so 6.4. Roof: 0.69 × 0.45 × 0.25 × $9,609 = $745.90, so 0.5. HVAC system: $1,219.23, so 0.3. Example: 12 × 0.69 = 8.28 (8); 8 × 0.43 = 3.44 (3.4); 3.4 × 0.62 = 2.108 (2.1); 2.1 × $1,348 = $2,830.80 ($2,831), rounded the way the calculator rounds. Receptionist: $38,010 ÷ 12 = $3,167.50, shown as $3,168. After-hours hours: 168 − 45 = 123, or 73.2% of the week. After-hours staffing: 123 × $18.27 × 52 ÷ 12 = $9,737.91, shown as $9,738.

Limits

Break-even figures count sales, not profit, and assume the published booking and sales rates apply to the calls an agent catches. The receptionist comparison uses wages only. The 40% margin in the example is a hypothetical input, not a benchmark.

What we left out

The claims that 80% of callers don't leave a voicemail, that 85% of callers whose call isn't answered won't call back and that 79% of people can't tell AI from a human. We couldn't trace any of them to a study. We also found no primary survey of how many small businesses use AI to answer the phone.
