Google Business Profile Optimization Checklist

A 15-item Google Business Profile optimization checklist for service businesses. Each item ties to a current Google help page, retired features included.

By Adam Brewer, founder of Local Voice. Figures checked October 14, 2026.

Google Business Profile optimization means filling in every field Google offers your category with accurate, specific details, then keeping the profile current with photos, posts and replies to reviews. For a service business, the fields that matter most are the primary category, the services list and the service areas. They decide which searches you show up for.

This checklist shows how to optimize a Google Business Profile after setup, which our Google Business Profile setup guide for service area businesses covers. Each item follows Google's help pages as they read on October 14, 2026, including the features Google has limited or shut down.

Every figure was checked at its source on October 14, 2026. Derived figures are marked as Local Voice calculations.

71% of consumers use Google to read reviews, down from 83% in 2025 BrightLocal, Local Consumer Review Survey 2026. 1,002 U.S. adults.
74% of consumers look for reviews written in the last three months BrightLocal, Local Consumer Review Survey 2026. 1,002 U.S. adults.
750 characters is the most Google allows in your business description Google Business Profile Help, "Edit your Business Profile." Checked Oct. 14, 2026.

What's on a Google Business Profile optimization checklist?

Fifteen items. Most take a few minutes, once. The rest repeat: photos, posts, review requests and replies. Figure 1 is the full Google Business Profile checklist, and the sections below give the Google rule behind each item.

1. Choose the right categories

Your primary category matters most. Google says "the categories you select affect your local ranking on Google" (Google Business Profile Help). Choose the most specific one that fits your main service.

Add extra categories only for real departments or lines of work. Google says, "Do not select a category for every product or service."

You can't invent one. Google says, "You can't create your own category." If yours isn't listed, pick the closest general one.

Your category can open up features. Google says that based on your category, "you might notice special features available for your Business Profile."

Changes can trigger a new check. After you add or edit a category, Google says "you might be asked to verify your business again."

To change it, select Edit profile, then Edit next to "Business category."

2. List every service you want calls for

The services list is where you spell out the work. Google says businesses in certain categories, "like service businesses," can show their offerings (Google Business Profile Help). Google suggests services based on your category, and you can add your own.

Add each job type you want calls for. A roofer, for example, might list repairs, replacements and inspections as separate services.

Give each one a short description. A price is optional.

Keep custom service names clean. Google says to avoid "profanity, gibberish, personal information, prices, or phone numbers in custom service names."

To add them, open your profile and select Edit services. Pick from the suggestions, or select Add more services, then save.

Skip the product editor. Google built it for stores. Google says, "If you have a local store which sells physical goods, the product editor is suitable for you," and points businesses that sell services to the services editor (Google Business Profile Help).

Figure 2. Services or products: which editor a service business should use

Google built each one for a different kind of business.

Product editor
  • Built for local stores that sell physical goods
  • Products must follow Google's shopping ads policy
  • A violation can remove every product you uploaded
Services editor
  • Offered to service businesses in certain categories
  • Suggested services based on your category
  • Custom services with a description and optional price

Source: Google Business Profile Help, "About product editor" and "Manage your services on your Business Profile." Checked October 14, 2026.

3. Set service areas and hours

Google allows up to 20 service areas, within about 2 hours of driving time from your base, and no radius (Google Business Profile Help). List the towns where you book the most work first.

For hours, select Edit profile, then Hours, and choose "Open with main hours" (Google Business Profile Help). If some services run on different times, Google lets you add "More hours." Before each holiday, set special hours. Google says special hours only show when your hours are set to "Open with main hours" (Google Business Profile Help). Our guide to holiday hours on Google Business Profile walks through it.

4. Write a description that says what you do

Your description shows in the "From the business" section of your profile. Google says, "Do not exceed 750 characters in the description field" (Google Business Profile Help). Its guidelines say to "provide useful information on services and products offered," and "No links of any type are allowed."

Write it the way you'd explain your shop to a neighbor. Say what work you do and which towns you cover. Save offers for posts.

5. Set up phone, messaging and links

Phone number

Use a local number you control. Google's guidelines say "the phone number must be under the direct control of the business," and to use "a local phone number instead of a central call center helpline number whenever possible." You can add a primary number and up to 2 more (Google Business Profile Help).

Google's help pages don't address call tracking numbers by name. The guidelines do say, "Do not provide phone numbers or URLs that redirect or 'refer' users to landing pages." If you use a tracking number, make it one you control, and keep your main line as one of the additional numbers.

Messaging

Google's own chat is gone. Google says, "As of July 31, 2024, the chat and call history features are no longer available in your Business Profile" (Google Business Profile Help). Some profiles can now add a texting number or a WhatsApp link instead. Google says these "are currently available for select regions" (Google Business Profile Help). To check, select Edit profile, then Contact, and look for "Chat." Only add a number someone watches. If you add both options, Google shows customers only the text option.

Website and UTM tags

Add your website as a full URL, starting with "https://." Then add UTM tags so you can separate profile visits from other Google traffic. Google Analytics reads UTM parameters, and Google says you "should always use utm_source, utm_medium, and utm_campaign" (Google Analytics Help). The Business Profile help pages we checked don't mention UTM tags. This is a standard Google Analytics setup.

Figure 3. How to track the clicks and calls your profile sends

Website clicks get a UTM tag. Calls are counted by Google.

  1. 1Tag your URLExample: yoursite.com/?utm_source=google&utm_medium=organic&utm_campaign=gbp
  2. 2Paste it in your profileReplace the plain website link with the tagged one.
  3. 3Find the campaign in AnalyticsVisits from the profile now show under the campaign name you chose.
  4. 4Check Performance for callsGoogle counts taps on your call button there.
  5. 5Compare month to monthUse the same dates in both reports.

Google says UTM values are case sensitive: "utm_source=google is different from utm_source=Google." Pick one spelling and keep it. The tag values in step 1 are an example.

Source: Google Analytics Help, "URL builders: Collect campaign data with custom URLs," and Google Business Profile Help, "Understand your Business Profile performance & insights." Checked October 14, 2026.

Calls don't carry a tag. Your Performance report counts "the number of times a customer clicked on the call button on your Business Profile" (Google Business Profile Help). That count only works on a verified profile.

Social links

Google lets you add one social media link per platform, for Facebook, Instagram, LinkedIn, Pinterest, TikTok, X and YouTube. Google says some categories "might be able to add more links," such as appointment links.

6. Add photos and videos of real work

Google has three kinds of photos: a logo, a cover photo and business photos (Google Business Profile Help). Its rule for all of them: "The photo should be in focus and well lit, and have no significant alterations or excessive use of filters." In Google's words, "the image should represent reality." Table 1 lists the file specs.

Table 1. Google's photo and video specs for Business Profiles

Every job you finish is a photo. Post before-and-after shots and your branded trucks. Google says new photos can take 24 to 48 hours to show, and they stay "Pending" until your profile is verified. Setting a cover photo "doesn't guarantee the cover photo will show up as the first image for your business."

7. Pick the attributes that fit

Attributes are short facts about your business (Google Business Profile Help). For most service businesses, the ones worth checking are identity attributes, such as Veteran-owned or Women-owned, and payment options. To set them, select Edit profile, then More. Google says "some attributes can only be changed in certain locations, countries, or business categories," so your list may differ. Choose only the ones that are true.

8. Post an update every month

Posts show in the Updates or Overview tab of your profile on mobile, in Search and Maps (Google Business Profile Help). Google offers three types: updates, offers and events. Keep these rules in mind:

Google says posts "older than 6 months are archived unless a date range is set."

Google warns that "Posts that include a phone number in the post description might get rejected."

Posts stay pending until your profile is verified.

Google's posts page makes no ranking claim. Post for the customer reading your profile. A finished job with photos makes a good update. So does a seasonal tune-up offer.

9. Ask for reviews and reply to every one

Get your review link from Read reviews, then Get more reviews (Google Business Profile Help). Google says review QR codes "can only be generated on a computer browser, not on mobile devices." Text the link after each job.

Two rules matter. Google strictly prohibits incentives, such as free or discounted work, in exchange for reviews (Google Business Profile Help). Its Maps content policy also says merchants may not "selectively solicit positive reviews from customers." So ask every customer, not only the happy ones. Our guide on how to get more Google reviews covers timing and wording.

Fresh reviews count with customers. In BrightLocal's Local Consumer Review Survey 2026 of 1,002 U.S. adults, 74% said they look for reviews written in the last three months (Figure 4). A steady flow beats a burst once a year.

Reply to each review. Select Read reviews, then the reply icon next to the review (Google Business Profile Help). Google says "the person who wrote the review is notified when you reply." Google reviews each reply before it goes live. That usually takes up to 10 minutes, and sometimes up to 30 days. The same BrightLocal survey found 89% of consumers expect business owners to respond to reviews.

10. Q&A and other features Google changed

Google limits or retires profile features often. Before you spend time on one, check that it still exists. Table 2 shows where things stood on October 14, 2026.

Table 2. Business Profile features that changed, as of October 14, 2026

Customers also check more places than Google now. BrightLocal found consumers use an average of six review sites in 2026. Google's share as a review site fell from 83% to 71% in a year, while use of ChatGPT and other AI tools for local recommendations rose from 6% to 45% (Figure 5). Keep your name, phone, hours and services the same everywhere you're listed, so every source tells the same story.

These come from two different questions. The Google figure is about where people read reviews. The AI figure is about where they get business recommendations.

Common Google Business Profile mistakes

Keywords or town names in the business name. Google says that "could result in the suspension of your Business Profile."

Stock photos or heavily filtered images.

A category for every service you offer.

Phone numbers or links that redirect to a different landing page.

Discounts or freebies in exchange for reviews.

Editing your name, address or category while you wait for a postcard code.

A strong profile brings calls, and each one needs an answer. CallRail's 2025 survey of 1,000 U.S. consumers found 82% say they'll call a competitor if you don't answer. See what missed calls cost you with the missed call calculator, or let an after-hours AI answering service book the calls that come in at night. Local Voice sells AI phone agents and local SEO.

Where to go next

A complete profile is the base. Ranking higher takes reviews and links too, which our guide on how to rank higher on Google Maps covers. If you'd rather hand it off, see our local SEO for contractors service.

Frequently asked questions

How do I optimize my Google Business Profile?

Start with your primary category, services and service areas, since they decide which searches you match. Then add a plain description, real job photos and attributes that fit. Keep it current with monthly posts and a review request after every job.

Does Google Business Profile still have Q&A?

Only for some businesses. Google's help page says Q&A is available only for select business categories and regions, and that its appearance and functionality might change. Google shut down the Q&A API for outside tools on November 3, 2025. If your profile doesn't show Q&A, put common answers in your description and on your website.

Can customers message me through my Google Business Profile?

Google's own chat ended on July 31, 2024. In select regions, you can add a texting number or a WhatsApp link under Edit profile, then Contact. If you add both, Google shows customers only the text option.

Can I use a call tracking number on Google Business Profile?

Google's help pages don't address tracking numbers by name. Its guidelines say the number must be under the business's direct control and must not redirect people to landing pages. You can add a primary number and up to 2 more, so your main line can stay on the profile.

How long can a Google Business Profile description be?

Up to 750 characters. Google's guidelines say to use it for useful information about the services and products you offer. No links of any type are allowed.

Do Google Business Profile posts help ranking?

Google's posts help page makes no ranking claim. Posts show in the Updates or Overview tab of your profile, and Google archives posts older than 6 months unless you set a date range. Post for the customers reading your profile.

Methodology

Sources

Every checklist item is based on a Google Business Profile Help page, the Maps User Generated Content Policy, Google Analytics Help or Google's developer change log for the Q&A API. Consumer figures come from BrightLocal's Local Consumer Review Survey 2026: 1,002 U.S. adults on a SurveyMonkey panel, published February 11, 2026. CallRail surveyed 1,000 U.S. consumers for its September 25, 2025 report.

When we checked

Every Google page and every figure was checked at its source on October 14, 2026. Google changes features and menu paths often. If a button has moved, the page linked in Sources has the current steps.

Limits

Some features, such as messaging, Q&A and attributes, vary by region and category, so your profile may not show all of them. BrightLocal's survey measures what consumers say they do.

What we left out

The claim that businesses with photos get 42% more direction requests and 35% more website clicks. BrightLocal's 2019 study quotes it from Google, but it isn't on Google's current photos help page and no method is given. Third-party reports that an AI feature replaced Q&A, because no Google help page described that change on October 14, 2026.
